Job Description

AP Executive - Media Advertising Agency - Paying £30,000 - £35,000 + Study SupportAs an Accounts Payable Executive, you’ll be integral to our finance operations, managing supplier setups, overseeing invoice processing, handling expense claims, and maintaining accurate records.Please noteyou musthave previous experience withinmedia or marketing agenciesandaccounts payable experience.Suitable candidates will be great communicators as you will be directly contacting clients regarding outstanding invoices andfocus on administration and be looked upon for accuracy when maintaining transaction logs and closing/balances of payments.Responsibilities:
  • Oversee new supplier setup and payment terms, ensuring compliance with company policies.
  • Manage sending invoices and purchase orders to the offshore team, addressing any queries.
  • Process and pay expense claims according to companies policy.
  • Handle cheque requests and process BACS payment runs efficiently.
  • Generate monthly unmatched PO reports to identify outstanding items.
  • Ensure invoices are authorized and goods are receipted per internal policies.
  • Perform monthly reconciliations before payments.
  • Resolve queries promptly, notifying management of old or escalating issues and any legal notices from suppliers.
  • Process petty cash or cash advances with full documentation, receipts, and authorization.
  • Maintain accurate and up-to-date filing systems, meeting all deadlines.
  • Conduct regular reconciliations to maintain AP and expense ledgers.
Requirements:
  • Essential: Previous Accounts Payable experience. 2+ Years
  • Proficiency in Microsoft Office, especially Excel and Outlook.
  • Advantageous: Knowledge of Zero or Netsuite.
  • High standard of numeracy and communication skills.
  • Excellent communication skills, maintaining positivity under pressure.
  • Reliable, responsible, and pride in your work.
  • Motivated and flexible, willing to work extra hours during busy periods.
  • Fun, personable, and a great team player.
  • Must be detail orientated with ability to think strategically and analytically.
  • Ability to problem solve in an occasionally unstructured environment.
