Job Description

Purpose of the RoleThe function of the role is to assist in the property data management & control of finances of client monies held (on behalf of Investors) in order to manage a property portfolio. The Apprentice Accounts Assistant is to work within a team of Client Accountantscarrying out tasks for the team.The client selection includes national contracts serviced from each office. Savills client information is predominately held on MRI but the role may require personnel to work on one or more of our clients own Property Management systems.Support will be provided via a 2 year training programme (Level 3 Apprentice). Full on the job training provided for all skills required.Key ResponsibilitiesKey tasks and responsibilities include the following:

  • Maintain housekeeping of Property & Lease data and financial data on databases.
  • Assist the Client Accountants in reporting to clients (standard reports plus additional as required).
  • Ensure accurate reconciliation of client reports (i.e. VAT, client statement etc).
  • Site Income Reconciliations.
Prepare Instructions for Treasury department (following the relevant approvals) of the following:
  • Demand recharges of costs incurred from Tenants.
  • Transfer of Rent monies to client.
  • Amendments to Client Accounts.
  • Payment of client property related transactions working with team property administrator on quarterly budget reports and forecasts.
  • General maintenance of client funds i.e. tenant refunds etc.
  • Maintain professional working relationships with internal and external clients and ensure that good client service is delivered.
  • Other miscellaneous administration tasks as required.
  • Ad-hoc tasks instructed by Client Accounts Team Leader and Head of Property Finance UK
  • Processing of purchase invoices.
  • Download reports from client systems and collate into the reconciliation folder.
  • Make basic movements on client systems if applicable as part of reconciliation pack preparation.
  • Assist with updating accounts tracker and preparing statistical information for use by the client.
  • Draft budget and reconciliation progress analysis to assist performance improvements.
  • Prepare financial reports for monthly/ Quarterly client meetings.
  • MRI project – Support with setup, data input and transition of information onto new system.
In addition to the tasks described above, the job holder may be required to carry out other duties as may reasonably be required from time to time.Skills, Knowledge and Experience Good communication and organisational skills are vital to succeed as an Apprentice. You will need the ability to manage a varied workload working as part of a team while also having the ability to use your own initiative, and be passionate about deliveringthe best service possible for your team and clients.
