You’llbe encouraged to identify and draw attention to opportunities for enhancing our delivery and providing additional services to organisations we work with.OverviewThe London Audit Group (LAG) Operations team are looking for an Operations Administrator – this person will be an integral member of the team who takes responsibility for undertaking a varied range of secretarial and administrative tasks connected with supporting London Audit Group, ensuring the smoothand efficient operation of LAG Operations.This role would suit an individual who is looking to develop their operational skills and is keen to play a part in driving forward the delivery of a professional administrative support service we provide to London Audit Group.The LAG Operations Administrator will report to the LAG Operations Manager, and will work closely with the wider LAG Operations team and other key stakeholders across the group, as applicable.Responsibilities:

  • Responsible for new joiner’s first day preparations (inc. ordering IT kits, security passes).
  • Organising and running face-to-face inductions and follow up Q&A sessions for all new joiners in the group.
  • Sending new joiner welcome emails and being point of contact for any questions.
  • Updating LAG induction packs as well as any other operational files and documentation.
  • Support with the coordination of staff movements across the group (e.g. transfers, secondments, leavers).
  • Responsible for diarising LAG staff movements.
  • Completing RTW checks for new joiners in the group.
  • Reporting on timecard completion on a weekly basis for the group.
  • Responsible for managing all Spotlight awards for the group (being the Recognition Coordinator).
  • Processing absence requests and managing any communication around this.
  • Monitoring people manager changes across LAG and ensuring any changes are reflected on HRM database.
  • Work closely with HR Services, SSC, Facilities, IT and other central support teams to ensure quick and thorough resolution of any issues (i.e. HRM system discrepancies, new joiner IT kits, Microsoft, office issues), escalating these where necessary to theLAG Operations Manager.
  • Completing general office and IT equipment requests.
  • Help to maintain of the LAG Operations shared mailbox to ensure exceptional service delivery to the London Audit Group, dealing with relevant requests.
  • Undertaking ad hoc project work (i.e. project management and delivery of tasks) at the request of the LAG Operations Manager and other key stakeholders.
  • Supporting the Operations Manager and Supervisor with process improvements.
  • Provide cover to the LAG Operations Supervisor when on leave.
  • Act as a Health & Safety Rep within the department to assist with DSE assessments.
  • DSE, Health and Safety, Fire Warden, and First Aid trained.
Requirements:
  • Previous experience of office/administration skills
  • IT literate with competence in MS Office packages (Excel, Word, PowerPoint).
  • Ability to proactively plan and organise work well, and ability to prioritise.
  • Excellent communication and stakeholder management skills; both written and oral.
  • Ability to build strong relationships.
  • Ability to work to deadlines, and to respond quickly.
  • Accuracy and attention to detail essential.
  • Ability to challenge current processes and implement efficiencies.
  • Must be flexible and adaptable.
  • Strong team working.
  • Strong problem-solving skills.
