Job Description

Team Assistant / Administrator - St Johns Wood - £40,000 to £45,000 Dependant on ExperienceMy client, an established London property consultancy providing expert residential and commercial real estate guidance to landowners, investors and developers throughout the UK, are looking for a Team Assistant / Administrator to work in their vibrant officein St Johns Wood.You will need to have fantastic administration skills, strong organisation and be personable with an excellent telephone manner as you will be answering calls from established and prospective clients.On offer to you is the opportunity to work within a well-established business with a team of friendly, dedicated and hardworking individuals who have a wealth of experience in the industry and can provide training courses and a focus on personal development. Experience in the Property Industry is essential. Duties:

  • Administration support to the team in the form of handling diary management and email correspondence
  • Answering the telephone, noting enquiries and distributing to the relevant team members
  • PA duties to the director including diary management, meeting management and occasional travel arrangements
  • Franking and collecting post on a daily basis
  • Data inputting, updating and maintaining the company database
  • Creating and maintaining property files
  • Drafting sales memorandums and letters
  • Implementation and continued monitoring of legally required documents including AML
  • Ordering of physical property boards
  • Land Registry searches as and when required
  • Company searches as and when required
  • Update the company handbook as necessary including instructions and manuals
  • Maintain physical and digital company files and folders
  • Update templates, guidelines and forms for the wider use of the team as necessary
  • Maintain and update property stock list
  • Liaise with external IT company to ensure technical issues are dealt with in a timely manner
Skills and Experience Required:
  • Minimum of 4 years experience in an Administrative/Team Assistant role - Property experience is essential.
  • Extremely organised
  • Strong multi-tasking skills
  • Excellent communication skills including professional telephone manner and strong writing ability
  • Ability to prioritise workload and adapt to changing priorities and deadlines
  • Work on own initiative and be proactive in finding solutions to problems
  • Willingness to work flexibly across simultaneous tasks
  • Strong listening skills and ability to follow instructions
  • Strong accuracy & attention to detail
  • Ability to work unsupervised and with autonomy whilst being able to work well as part of the wider team
  • Ability to anticipate needs of the team and prepare accordingly
  • Strong work ethic and can do attitude
  • Helpful approach with a willingness to do a job thoroughly and to the best of your ability
  • Proficient with all Microsoft Office Packages including Excel
  • Strong IT Skills are required
