Job Description

Title of Post: School Office Team Member(to include School Office, Student Services, Reception, Reprographics, and Medical Needs Administration duties)Term-Time Only:40 Weeks Per YearFull or Part time: Full timeHours: 36 hours per week, Monday - FridayGENERAL PURPOSE OF THE JOBThe School Office Team Member will share responsibility for school office duties, whole school reprographics, and provide an efficient, friendly, and welcoming service to all visitors. This role includes serving as a point of contact at Student Servicesand being a member of the First Aid team.KEY DUTIES

  • Manage school and student filing.
  • Provide efficient reception and Student Services support.
  • Answer phone calls, transferring them or emailing details as necessary, maintaining confidentiality.
  • Check and forward answer phone messages.
  • Greet visitors, sign them in/out, and issue identity badges in line with safeguarding policies.
  • Assist students with queries or direct them appropriately.
  • Update student records on the school MIS system after training.
  • Arrange parental contact messages via the school system.
  • Reception duties, including managing student sign-in/out processes.
  • Coordinate services for students, including locker keys, locker allocations, etc.
  • Shred papers as necessary.
  • Update staff pigeon holes and door name plates.
Reprographics & Exams Duties:
  • Perform scanning, photocopying and laminating work for the school.
  • Prepare materials for reproduction, such as newsletters and exam papers.
  • Record and report monthly reprographic usage by department.
  • Maintain school forms and order reprographic supplies.
  • Photocopy confidential documents.
  • Block dates and codes for printing as required.
  • Manage mock exam papers, including printing and organizing copies.
  • Liaise with the Examinations Officer for secure copying.
Medical Needs Administration:
  • Keep records for students with medical needs, and prescription medication.
  • Monitor and notify parents/carers of expired medications.
  • Produce and update a medical needs register.
  • Administer first aid (must be trained or willing to undertake training) and accompany students to the hospital if necessary.
  • Assist unwell students and contact parents/carers when necessary.
Person SpecificationQualifications:
  • A good standard of education.
  • Additional qualifications such as First Aid at work (desirable).
Experience/Knowledge:
  • Experience of providing a reception service or dealing with inquiries in person and on the phone.
  • Experience of working with young people.
  • Experience of administrative procedures.
  • Excellent knowledge of MS Office and IT packages.
  • Experience of working in a school environment (desirable).
  • Knowledge of SIMS or other MIS system (desirable).
  • Experience of using office telephone system (desirable).
Skills and Personal Capabilities:
  • Good communication skills at all levels.
  • Ability to provide a courteous, efficient, and professional service to visitors.
  • Ability to deal with unexpected and challenging situations.
  • Ability to work under pressure and manage conflicting demands.
  • Willingness to undertake First Aid Training.
  • Willingness to undertake staff development and skills updating as necessary.
  • A team player.
  • Ability to maintain confidentiality.
  • Ability to work independently.
  • Knowledge and understanding of the school’s ethos and safeguarding procedures.
